District Inventory Validation

Every two years, equipment purchased with categorical funds undergoes a physical check to ensure that it is in good working condition and being used appropriately. The purpose of this inspection is to verify that the equipment is being maintained properly and is functioning as intended.

Annual Site Inventory

Site/Department Managers having custody of equipment/furniture must perform a physical in-house inventory by June 30th every other year. Sites/Departments must verify that items delivered to their site/department are still under their custody or have written proof of release of custody.

 

Federal Funding

Categorical Equipment

Federal Equipment refers to any equipment with an acquisition cost of $500 or more per unit, inclusive of taxes, shipping, and ancillary charges. These items are purchased using categorical funds.

Categorical Funds

Categorical Funds consist of federal grants allocated to the District/schools. Below is a list of the current year's categorical funds, with the possibility of additional funds for some schools. For inquiries about specific funds, please contact the relevant department overseeing federal funds.

Reason for Inventory

All Title I schools are obligated to submit a complete and compliant Categorical Equipment Inventory annually, irrespective of whether equipment was purchased during that period.

Federal Program Monitoring (FPM)  - The spending of Title I, Part A funding on equipment necessitates maintaining a historical inventory record for each piece with an acquisition cost of $500 or more per unit.

Federal Award Identification Number

The FAIN is a unique identifier for financial assistance awards, and must be indicated on District Asset Inventory Sheets for equipment purchased with such funds.
